Now that Teams Phone Calling has been set up, we have created this guide on how to manage calls and configure your voicemail and call forwarding preferences.
Transferring Calls
While on a call, If you need to transfer the call to another user, click or tap the ellipses in the call window. If you’re on the mobile app, select Transfer and then choose either Transfer or, if you’d like to check with the user you’re transferring to before doing so, select Consult then transfer and search that user's name.
Once you’ve selected the name, the call will be placed on hold and a message window opened with a pre-written message you can send to the user to get their approval.
Once approved, tap the icon in the top-right to transfer the call or tap the
icon to return to the call.
If you’re using the Teams desktop app, when selecting a user to consult before transferring, you have the option to call them as well as message. This can be done by clicking the arrow next to chat and selecting Teams audio call
To Consult then transfer in the Teams desktop app, just click the ellipses in the chat window, and select Consult then transfer
Voicemail and Call Forwarding Setup
To configure your call settings, open the Teams desktop app and click the ellipses next to your initials in the top-right of the menu
From there, click Settings and then choose Calls
Under Call answering rules, You can choose either Calls ring me or Forward my calls, which will forward your calls directly to Voicemail. To turn off Voicemail, click the drop-down menu next to If unanswered and selecting Do nothing.
You can also change how long your phone will ring for before redirecting in the drop-down menu directly beneath that.
To record your custom Voicemail message, click Configure voicemail
From here, click Record a greeting which will take you to an automated voice menu. Follow the voice prompts to record your custom Voicemail message. You can also record an Out of Office message in the same menu. When you’re finished, be sure to press the * key to exit before hanging up – this will ensure your messages are saved.
To have Teams play your Out of Office message, scroll down to the bottom of the Configure voicemail menu, and select one of three options under Out of office greeting
To have missed calls automatically forwarded to another number, open the Configure voicemail menu and select Transfer the call to someone else, then type the name of the user you’d like the call to be forwarded to in the text box directly beneath
If you would like to give the caller the option to either be forwarded or leave a message, select Let the caller leave a message or be transferred to someone else from the same drop-down menu under Call answering rules.
