Microsoft Teams features a handy section where you can create tasks and to do lists for yourself and others in your organisation. To access this feature, click the ellipses in the main side bar and click ‘Tasks by Planner and To Do’.
Within this section you can see and manage tasks that you have assigned yourself as well as tasks that have been assigned to you.
Creating and Managing Tasks for Yourself
In the ‘My Tasks’ drop-down menu, you can click the ‘Tasks’ tab to view your to do list and create new tasks for yourself. To create a new task for yourself, click where it says ‘New task’ under ‘Task title’ and enter a name. Then you can click the green dot under ‘Priority’ to set a priority level and set a due date by clicking the calendar in the ‘Due’ section. To create the task, click the tick icon and the task will appear in your list.
If you set the priority level to Important, the task will display this symbol and will also be displayed in the ‘Important’ tab on the left-hand side.
If you click the ellipses to the right of the due date you can set the progress of the task, edit its priority level and due date, as well as delete it. By clicking the circle to the left of the task name, you can mark the task as complete. You can filter tasks by priority level, due date etc.by clicking ‘Filter’ in the top right.
By clicking ‘Assigned to me’ in the drop-down menu on the left, you can view tasks assigned to you by others in your Organisation.
By clicking in the bottom-left of the Tasks window, you can create a new to do list in your ‘My tasks’ section, where you can create several sub-tasks assigned to a particular task.
Creating, Assigning and Managing Tasks for Others
In the Shared plans tab you will see your organisation, which you can click to reveal a drop-down menu of all lists and plans assigned to its various channels. If you click ‘New list or plan’ you can add a new list and select the organisation and channel to assign it to.
Once you have created a new list in your organisation, select the list to create new task.
From here, you can name the task, assign the task to one or multiple people from your organisation, set priority level and due date, as well as assign it to a bucket.
Buckets help break things up into phases, types of work, departments etc. In the image above, it is set as To Do. By clicking ‘Board’ you can create a new bucket by clicking ‘Add new bucket’.
To delete or rename a list, select it from the drop-down menu under your organisation name under Shared plans, and click the ellipses next to its name.
